Procurae Group is a UK-based care and support provider that primarily assists people with learning disabilities or complex care needs. The organization owns four distinct businesses and has experienced significant growth, nearly doubling its employee count to 260 people in the last couple of years. Because their workforce is primarily community-based rather than operating out of a central office, keeping everyone connected presents a unique challenge.
The challenge
Before finding a new solution, Procurae Group struggled to unify their rapidly expanding team. They attempted to use a makeshift Microsoft Teams site to connect employees, but struggled to get the engagement they had hoped for. The Teams setup was only ever meant to be temporary while the company was small, and it simply wasn't built to handle their growth from two organizations to four.

- Replacing WhatsApp: To streamline communication and keep things secure, employees utilize Discussions channels to replace external WhatsApp groups. These chat groups allow employees to have fun conversations or handle logistics like shift swaps, building camaraderie outside of formal care plans.
- Boosting morale: The sharing of positive pictures and achievements via Activity has helped lift the company's overall mood and fostered a strong sense of self-worth among employees.

To solve their historical issues with scattered information and manual processes, Procurae Group leverages creative workarounds—specifically by integrating the platform with Jotform.
Library serves as a one-stop shop for crucial resources and a primary hook for staff. Within Library, employees find direct links to Jotform to seamlessly book holidays and fill in their weekly time sheets.
They also use Jotform to power their "Value of the Month" scheme, which is based on their 10 core company values. Employees submit peer nominations through Jotform, and then the Procurae Group team creatively repurposes the platform's classifieds section to display these shoutouts. They change the header each month to reflect the current value, load up the peer nominations, and feature a picture of the recognized employee, ensuring widespread visibility for a job well done.
